e-Delivery. The new system is a revolution in offices

On January 1, 2025, e-Delivery will become generally applicable. Their basic assumption is to receive and send registered letters via the Internet – explained Magdalena Kordas, legal advisor and manager at Olesiński & Wspólnicy.

As citizens, we can obtain an e-Delivery address (ADE) and set up a mailbox in two ways: via edoreczenia.gov.pl or mObywatel.gov.pl.

According to Kordas, this is a big revolution for offices because they must integrate e-Delivery with their internal systems. The amendment to the e-Delivery Act gives them a transitional period to adapt to the changes. They have all of 2025 to do this.

The legal advisor also presented advice for entrepreneurs who are switching to e-Delivery.

– It is important to pay attention to issues of personal data protection and confidentiality. Data leakage or access by an unauthorized person may pose a problem and result in financial penalties, Kordas noted.

As pointed out by Poczta Polska, from Wednesday, public entities will be obliged to use e-Delivery – e.g. local governments and offices and people performing public trust professions, e.g. notaries, lawyers, accountants. In practice, this means that these entities will no longer print, stamp and send registered letters to citizens by traditional mail. They will be sent via e-Delivery.

– The end of sending paper letters and notices and the need to receive official registered letters or correspondence between companies and ordinary people in traditional, paper form is approaching – said Dariusz Śpiewak, vice-president of Poczta Polska responsible for its digitization, quoted in the announcement.

To use the new service, you must set up an electronic delivery address (ADE for short). This can be done via the website edoreczenia.gov.pl or mObywatel.gov.pl. An individual who sets up his/her ADE can then activate the e-Delivery service: after logging in to his/her mailbox, select the “additional services” tab in the menu on the left.

Thanks to this, you can not only receive registered letters electronically, but also send them to another natural person who has an ADE, with the advantage of acknowledgment of receipt. The system also provides the ability to add attachments and access to the full correspondence history.

Using the service is similar to using e-mailhowever, is much safer – said Poczta Polska. The e-Delivery platform guarantees 24/7 access to shipments from anywhere in the world with Internet access.

As Poczta Polska reminded, setting up an ADE is not obligatory for natural persons. If the citizen does not do this, the Post Office will still send him registered letters in the traditional, paper form.

e-Delivery is a service enabling safe and fast communication between citizens, entrepreneurs and public institutions via an electronic delivery address. Thanks to this system, you can save time and costs associated with traditional document sending.

In practice, this means that all official letters and decisions can be received and sent electronically, without the need to visit the post office or collect the advice that was sent to the mailbox while you were away from home.
